NUACOM Auto Dialer lets you load a list of phone numbers into a campaign and have NUACOM dial them one after another for you. Your team spends less time dialling and waiting between calls, and more time talking to people who pick up.

How to set up an Auto Dialer campaign

  1. Log in to the NUACOM portal.
  2. Navigate to Tools > Auto Dialer.
  3. Click New Campaign. The Create Campaign window opens.
  1. Enter a Campaign Name so you can recognise the campaign later.
  2. Choose the Caller ID, which is the number your contacts will see when you call them.
  3. Set Delay between calls, Maximum Response Time, Max Retries and Re-dial Timeout (see the settings below).
  4. Under Assign To:, choose the extension that will make the calls, initiate & complete the campaign.
  5. Click Add Contacts and add the numbers you want to dial (see below).
  6. Click Save.

Your campaign now appears in the Auto Dialer list.

Campaign settings

Campaign Name: A label for the campaign, for example "September follow-ups".

Caller ID: The number shown to your contacts when they receive the call. Choose the number that best fits the campaign, for example a local number or your main business line.

Delay between calls: How long the dialer waits between one call ending and the next one starting. This gives your agent a short breather to wrap up before the next call. Choose from 5 seconds to 5 minutes. The default is 15 seconds.

Maximum Response Time: How long the dialer lets a call ring while waiting for the contact to answer, before it hangs up and moves on. Choose from 10 seconds to 2 minutes. The default is 20 seconds.

Max Retries: The number of call attempts if a contact does not answer. The default is 3. Set it to 0 if you want each number to be called only once.

Re-dial Timeout: If a call is not answered, calling the number is paused for this duration. During the pause, the dialer skips it and moves on to the next number. Choose from 15 minutes to 2 hours. The default is 15 minutes.

Assign To: The extension that makes the calls for this campaign. Only the user of this extension can run the campaign.

Adding contacts to a campaign

  1. In the Create Campaign window, click Add Contacts.
  2. Add your numbers in one of two ways:
    • Type or paste them into the box, one number per line, for example +353 1 234 5678.
    • Click Choose file and upload a file with one number per line.
  3. Check the counter under the box. It shows how many valid numbers were found.
  4. Click Add, then click Save to save the campaign.

Additional information

  • Enter numbers in international format, starting with the country code (for example +353 for Ireland).
  • Check the valid numbers counter before you click Add.

How to start calling

Once the campaign is saved, the user of the extension you assigned it to starts the calling. This can be done in the NUACOM Web Portal or the NUACOM Desktop App.

  1. Log in as the user of the assigned extension.
  2. Navigate to Tools > Auto Dialer.
  3. Click on the campaign.
  4. Click Play.

NUACOM then starts dialing the numbers in the list, one after another, using your campaign settings.

Once started, you can hit Stop to stop the campaign:

Important: Only the extension the campaign is assigned to can start it. If the wrong extension is assigned, click Edit in the campaign window to change the settings.

Managing a campaign

Click on a campaign in the Auto Dialer list to open it. From here you can:

  • Add Contact: Add more numbers to the campaign at any time, including after it has been saved.
  • Play: Start calling.
  • Edit: Change the campaign settings.
  • Remove a single number by clicking the red bin icon next to it.

The top of the window also shows the campaign's Delay and Time out (Maximum Response Time) settings and its progress.

The list of numbers shows, for each contact:

ColumnWhat it tells you
NumberThe phone number being dialed
StatusWhere that number is up to, for example Initial before it has been called. You can also change the status for an answered call but was a voicemail.
CallsHow many times has the number been called
Last CallWhen the number was last called
ActionsRemove the number from the campaign

Tracking your campaigns

The Auto Dialer page lists all of your campaigns. Click Refresh at any time to update the list.

Each campaign shows:

ItemWhat it tells you
Campaign name and number of contactsThe name you gave the campaign and how many numbers it contains
PercentageThe % of calls answered
Three numbers (for example 1 / 2 / 3)Green: answered calls. Red: calls that were not answered or went to voicemail. Grey: the total number of contacts.
StatusWhere the campaign is up to (initial, in progress, done)
Assigned ToThe extension making the calls
NumberThe Caller ID used for the campaign

Deleting a campaign

To remove a campaign, click the red bin icon on the right-hand side of the campaign, then confirm when asked.

Important: Deleting a campaign also deletes its data, including its contact list and call progress. This cannot be undone.

Best practices

Important: Make sure your outbound calling campaigns comply with local telemarketing rules and data protection regulations, including GDPR. Only call contacts you have a lawful basis to contact.

  • Use a Caller ID your contacts will recognise, so they are more likely to pick up.
  • If your team needs time to log notes between calls, choose a longer Delay between calls.
  • For lists with many unanswered calls, use Re-dial Timeout to space out your retries rather than calling the same number again straight away.

Frequently asked questions

What happens if a contact doesn't answer? The dialer hangs up once the Maximum Response Time has passed and moves on to the next number. The unanswered number is paused for the Re-dial Timeout and then tried again, up to your Max Retries.

Can I call each number only once? Yes. Set Max Retries to 0 and each number will be called one time.

How long will the dialer wait for someone to answer? This is set by Maximum Response Time in your campaign settings, from 10 seconds to 2 minutes.

Which number will my contacts see? The number you choose in Caller ID when you create the campaign.

Can I use different settings for different campaigns? Yes. Each campaign has its own Caller ID, timing settings, assigned extension and contact list.

Can I add more contacts to a campaign after I've saved it? Yes. Click on the campaign, then click Add Contact.

What do the green, red and grey numbers on a campaign mean? Green is the number of answered calls, red is the number of calls that were not answered or went to voicemail, and grey is the total number of contacts in the campaign.
